Dear Group,
I'd like to announce some protocol when scheduling meetings w/ Alan. This
should make the process more efficient for all.
1) Email me with your preferred date(s) & time(s). Remember that Thu
afternoons and Fridays are best for Alan this Fall. Please mention what
it's about, e.g., x paper or y project, so I can note this for Alan to see.
2a) If a time works, I will send you a Google Calendar event invitation w/
specific date&time, and possibly a short note or question in the description
field. *You must confirm by accepting the invitation*, or else I may need
to give the time slot to someone who's waiting for a spot.
2b) If I can't fit you in based on your parameters, I will reply to your
email and we can work from there.
3) Once the meeting event is confirmed, any changes will happen via Google
Calendar notification emails, i.e., if Alan needs to cancel/reschedule, I
will delete the event or send a revised invitation.
