IMLS-Funded Grant for Improving Access
to Archives and Special Collections is Underway
March 26 2012
For Immediate Release – please distribute broadly
Last fall, the Institute of Museum and Library Services (IMLS) awarded
a National Leadership Grant to the J. Willard Marriott Library at the
University of Utah on behalf of three consortia: (a) Utah Academic
Library Consortium’s Mountain West Digital Library, (b) Orbis Cascade
Alliance’s Northwest Digital Archives, and (c) Rocky Mountain Online
Archive, hosted by the University of New Mexico.
Objective
This collaborative planning grant is a one-year project Planning for a
Western Archival Network: Administrative, Technical, and End User
Concerns. The three consortia on the grant are currently exploring
ways to improve user access to Encoded Archival Description (EAD)
finding aids describing the archival materials in our three Western
regions, possibly via a central “Western EAD search portal.” Fifteen
staff members representing the three consortia met in Albuquerque in
January to examine ways to create better user experiences and realize
cost efficiencies through shared standards, technology and
administration. Follow up meetings are planned in Salt Lake City, UT
in April and Portland, OR in September.
Impact
This project will have national impact for both end users, and the EAD
community at large. Once the planning is completed and the methods
implemented, end users will have easier and quicker access to both a
greater volume and diversity of archival materials. The intent is to
provide a model that other organizations can implement so that
consortia across the country benefit from reduced costs and increased
access to collections.
Dr. Gregory Thompson, Associate Dean for Special Collections at the
Marriott Library, and principal investigator on the grant states: “We
are extremely excited about how this grant will open the doors to
incredible collections across the west… In the long-term, citizens
everywhere will encounter easier and faster online access to
historical photographs, manuscripts, oral histories, and many other
rare and historic materials.”
Outcomes
Based on the grant activities, final recommendations and a report will
be released in October 2012. The three consortia hope to pursue
additional collaborative funding for the implementation phase of the
project.

###
Background on the Consortia
Three consortia of EAD partners are working together on this project:
· The Utah Academic Library Consortium (http://ualc.net) is a
40-year-old consortium of 14 academic libraries in Utah, along with
the Utah State Library and affiliate member libraries in Utah, Nevada,
and Idaho. UALC partners cooperate in continually improving the
availability and delivery of library and information services to the
higher education community and to the State of Utah, through fostering
research, developing and implementing cooperative library programs;
providing a means for the exchange of information on cooperative
library ventures; maximizing limited resources by improving library
methods and avoiding expensive duplicate purchases; maximizing
information delivery through shared use of technology and human
resources; and acting as an advocate for excellence in library
resources and services. One of the flagship programs of the UALC is
the Mountain West Digital Library (http://mwdl.org), a free search
portal to 350 digital collections containing over 650,000 resources
about the Mountain West region from 62 partnering libraries, archives,
and other cultural heritage institutions. Eight partners of the MWDL
maintain EAD files, and several more are involved in creating new EAD
collections.
· The Orbis Cascade Alliance (http://www.orbiscascade.org) is a
consortium of 36 academic libraries in Oregon and Washington. Alliance
member libraries work together to provide outstanding services to
students and faculty, share information resources and expertise,
develop library staff, and help members allocate financial and human
resources to serve the unique needs of each member. To this end, the
Alliance considers the combined collections of member institutions as
one collection. The Alliance supports a number of services that
support this vision, including Summit, a system that allows students,
faculty and staff to easily search and request library materials owned
by member libraries; courier service offering delivery of library
materials in Oregon, Washington and Idaho; the Northwest Digital
Archives (http://nwda.orbiscascade.org), which offers enhanced access
to primary sources in the Northwest U.S.; cooperative purchasing for
databases, ebooks and ejournals; and other digital library services.
· The University of New Mexico University Libraries
(http://elibrary.unm.edu) provides the infrastructure for the 30
contributing institutions in New Mexico, Colorado and Wyoming of the
Rocky Mountain Online Archive (http://rmoa.unm.edu ). UNM supports and
maintains RMOA as a service to libraries, museums and archives in the
three states with the goal of improving access to manuscript and
archival collections. Initiated with a grant from the National
Endowment for the Humanities in 2004, continuing support comes from
the UNM University Libraries and the Center for Regional Studies.

---------- Forwarded message ----------
From: Spyros Kakouriotis <spyroskak(a)gmail.com>
Date: 2012/3/22

Implementation of Apostrophes in Japanese Romanized Cataloging and
Proposed Revision of the ALA-LC Japanese Romanization Table
The Library of Congress recently announced its interest in clarifying the use of apostrophes in romanized Japanese cataloging. Comments about the announcement were overwhelmingly in favor of using the apostrophe rather than the alif.
Based on this feedback, the Library of Congress will immediately align the use of the apostrophe in Japanese romanized cataloging with the published ALA-LC Japanese romanization standard. LC will also update headings in its bibliographic and authorities databases to reflect this decision. PCC member institutions are asked to adjust Japanese romanized cataloging records accordingly as they are encountered.
The announcement about apostrophe use in Japanese romanized cataloging revealed that additional revisions to the Japanese ALA-LC romanization table were needed. LC's Policy and Standards Division is posting a revision proposal to the Japanese romanization table<http://www.loc.gov/catdir/cpso/roman_japanese_revision_Mar2012.pdf> [PDF, 190 KB], along with a separate document<http://www.loc.gov/catdir/cpso/roman_japanese_changes_Mar2012.pdf> [PDF, 36 KB] that enumerates changes in the revision proposal. These documents are available for download on the Library of Congress website at http://www.loc.gov/catdir/cpso/roman_japanesediacritics_Mar2012.html .
Comments on this proposed revision should be sent to Bruce Johnson in LC's Policy and Standards Division ( bjoh(a)loc.gov<mailto:bjoh@loc.gov> ) no later than June 13, 2012.

The application deadline for CCAHA's Preservation Needs Assessment and
Risk Assessment Programs is approaching. All applications must be
received by April 30, 2012
The Conservation Center for Art and Historic Artifacts (CCAHA) is
seeking applicants for its Preservation Needs Assessment and Risk
Assessment programs. Through funding from the National Endowment for
the Humanities (NEH), CCAHA is able to offer a limited number of
subsidized assessments for $350.
Detailed information on the Preservation Needs Assessment Program can be
found at:
http://www.ccaha.org/fundraising/grant-calendar/2012/04/20/ccaha-s-prese
rvation-needs-assessment-program
Information on the Risk Assessment Program can be found at:
http://www.ccaha.org/fundraising/grant-calendar/2012/04/20/ccaha-s-risk-
assessment-program
If you have questions or want to discuss the suitability of this program
for your institution, please contact CCAHA's Preservation Services
Office, call 215.545.0613, go to www.ccaha.org <http://www.ccaha.org/> ,
or email pso(a)ccaha.org
About the Needs Assessment Program
Completing a Preservation Needs Assessment is a key first step in
developing a preservation plan for institutions and is essential when
seeking funding for preservation and conservation initiatives.
The preservation needs assessment process encompasses a general
evaluation of the institution's preservation needs for their collections
and includes: environment (temperature, relative humidity, pollution and
light), housekeeping, pest control, fire protection, security, and
disaster preparedness; collection storage, handling, exhibition, and
treatment; and preservation planning. The site visit consists of a
review of the site, an examination of the collections, and interviews
with relevant staff. The written report provides observations,
recommendations, and resources to serve as a guide in the development of
a comprehensive preservation plan for the collections. In addition to
pinpointing areas of concern, the preservation needs assessment is also
a valuable fundraising tool.
Eligibility: Institutions with paper-based humanities collections that
are available to the public on a regularly scheduled basis and that have
national or regional significance are encouraged to apply. Additional
eligibility requirements are on CCAHA's web site at:
http://www.ccaha.org/uploads/media_items/preservation-needs-assessment-c
all-for-applicants-2012.original.pdf
About the Risk Assessment Program
A risk assessment is a necessary first step for developing an Emergency
Preparedness and Response Plan. Institutions selected to participate in
the program will work with a CCAHA staff member to complete a one day
on-site consultation during which collections management policies and
procedures, facilities and building location, environmental conditions,
security and fire protection, pest and mold control, and weather and
geographic risks are analyzed. The written risk assessment report will
provide observations, recommendations, and resources to help the
institution mitigate risks and will also serve as a guide in the
development of an Emergency Preparedness and Response Plan for the
collection and the institution. In addition, CCAHA staff will review any
subsequent disaster planning documents and make suggestions for the
successful implementation of the emergency plan.
Eligibility: Small to mid-sized institutions with humanities-based
collections of regional or national significance in the Mid-Atlantic
region (PA, NJ, DE, MD, NY, DC, VA, and WV) are eligible and encouraged
to apply. Additional eligibility requirements are on CCAHA's web site
at:
http://www.ccaha.org/uploads/media_items/risk-assessment-call-for-applic
ants-2012.original.pdf
All applications must be received by Monday, April 30, 2012.
Established in 1977, CCAHA is one of the largest nonprofit conservation
facilities in the country.
CCAHA serves other non-profit cultural, educational, and research
institutions and specializes in the treatment of art and historic
artifacts on paper and provides preservation education, training, and
consultation.

FILMMAKER STAVROULA TOSKA
VISITS THE TSAKOPOULOS HELLENIC COLLECTION
Actress, filmmaker, and co-founder of Orama Pictures Stavroula Toska visited the Tsakopoulos Hellenic Collection from Feb. 16-21 to conduct research on her current documentary film project, tentatively titled Three Candles. The film, narrated by Academy Award winner Olympia Dukakis, chronicles the story of Greek women who were exiled into concentration camps from 1946-1949 during the Greek Civil War. Several notebooks of these women have been discovered and reveal both the atrocities they endured at the hands of the government as well as their inner lives during their internment.
During her stay Toska made use of the Collection’s extensive holdings on Greece during World War II and the ensuing Greek Civil War, including newspapers and pamphlets of the period and additional materials contained in the Vlavianos archive.
"I am so grateful for all the help and support I received during my visit to the Tsakopoulos Hellenic Collection. I never thought I'd be reading original newspapers and pamphlets from the 1940s about World War II and the Greek Civil War, as well as other scarce books that have been out of print for so many years. The information I was able to gather for our documentary feature surpassed all expectations and was simply priceless," Toska said.
The film is currently in post production and is scheduled to screen at domestic and international film festivals in 2013. For more information about Three Candles, visit http://www.oramapictures.info/.
